Important Changes to Leave Accruals in HR Partner

We’ve refactored our Time Off and Leave feature’s leave accruals process and we’d like to explain the changes.

In April, our development team made some changes to leave accruals. The refactoring of the leave accrual code was necessary, as it hadn’t been updated for quite some time, and this leave feature is integral to the core of HR Partner. 

The updates we made to leave accruals impact how the accruals are calculated in the backend of the system, but it should make them more accurate overall. Specifically, the new changes now automatically calculate the pro-rata balance on 'up-front' leave policies for new starters and allocate that to their leave balances within 24 hours of them being entered in the system. Previously this was not done; we're excited that these pro-rata balance calculations will make things easier for our clients!

This calculation our development team has done in the system will show the pro-rata balance from the employee’s starting date, up to the reset date of the leave policy. For example, if the employee starts on January 1st and the policy resets on April 1st, the pro-rata balance will be calculated from January 1 to March 31st.

However, in the situations where Admin Users need to make manual changes to their employees’ balances, they should enter the Balance figure as of the actual date they entered it.

Again, these changes will ensure that the employee's Leave Balances are as accurate as possible, with less effort to calculate the pro-rata amounts for your staff!

If you would like things to work as they have in the past, the timing of manual Balance adjustments and leave policy changes is critical for accuracy. If you want to make an adjustment to a Balance or move an employee from one policy to another, you should do it:

  1. For Weekly accruals: On a Sunday
  2. For Monthly accruals: On the last day of the month
  3. For Daily accruals, it does not matter: No timing restrictions

Making these types of changes at the right time will help mitigate any potential balance errors.
