They will also work much better on mobile phone browsers, as our research shows an increasing usage of mobile devices on our job boards.</p><p>You also have much more control over the colour themes used, and how much you promote your company on your main job page.</p><p>One of the biggest changes is that your applicants can now take their time filling in a job application.  Our system will automatically save their application in draft form, allowing them to take a break and come back to it later.</p><figure class="kg-card kg-image-card kg-card-hascaption"><img src="https://workplace.hrpartner.io/content/images/2025/10/Job-Board-Save.png" class="kg-image" alt="Fresh new look for your job boards" loading="lazy" width="2000" height="1365" srcset="https://workplace.hrpartner.io/content/images/size/w600/2025/10/Job-Board-Save.png 600w, https://workplace.hrpartner.io/content/images/size/w1000/2025/10/Job-Board-Save.png 1000w, https://workplace.hrpartner.io/content/images/size/w1600/2025/10/Job-Board-Save.png 1600w, https://workplace.hrpartner.io/content/images/size/w2400/2025/10/Job-Board-Save.png 2400w" sizes="(min-width: 720px) 720px"><figcaption><span style="white-space: pre-wrap;">No more lost applications if you accidentally close your browser tab halfway through!</span></figcaption></figure><p>We have also made the custom forms work better, and more user friendly for less technical applicants to be able to still submit their applications.</p><p>You can still your CAPTCHA to protect your forms from automated postings (using your choice of Google&apos;s <strong>reCaptcha</strong> or <strong>hCaptcha</strong>), and you can also opt to plug in your choice of analytics tools to track activity yourself (i.e. <strong>Google Analytics</strong>, or <strong>Fathom</strong>, or <strong>Simple Analytics</strong> etc.)</p><p>Lastly, we have also improved the social sharing widget on the board, so your team or your applicants can easily share your job listings across various social networks (or you can turn off this sharing ability if you don&apos;t want to use it).</p><h3 id="prepare-for-change">Prepare For Change</h3><p>The new job boards differ quite significantly from our current one, and there is a chance that your pre-selected color schemes may not look the best &apos;out of the box&apos;.</p><p>We strongly suggest that when the new boards are released (don&apos;t worry, we will send out a general newsletter broadcast just before we do), that you immediately go to <strong>Recruitment &gt; Configure &gt; Job Board</strong> and pick colors in there that match your branding.  There are many more areas to pick colors for now, so you can tailor the board to conform with your corporate color scheme.</p><p>You can also tailor the top banner images and wording to better introduce your company to any potential candidate.</p><p>As always, our friendly, helpful Customer Success team is on standby to jump in and help you out with any of the above.</p><p>Let us know what you think of the new boards.  You can see <a href="https://help.hrpartner.io/article/336-job-board-examples?ref=workplace.hrpartner.io" rel="noreferrer">some more samples here</a> on our knowledgebase.</p>]]></content:encoded></item><item><title><![CDATA[AWS Outage - October 2025]]></title><description><![CDATA[Our response to the Amazon Web Services outage on 20th October.]]></description><link>https://workplace.hrpartner.io/aws-outage-october-2025/</link><guid isPermaLink="false">68f6bdd32ace3e0a18bbabc2</guid><category><![CDATA[Announcement]]></category><dc:creator><![CDATA[Devan Sabaratnam]]></dc:creator><pubDate>Mon, 20 Oct 2025 23:06:31 GMT</pubDate><content:encoded><![CDATA[<p>The global AWS outage recently affected many online platforms around the world, with some experiencing significant downtime and disruption. </p><p>HR Partner was also briefly caught up in the outage &#x2014; but we&#x2019;re pleased to confirm that the impact was minimal.</p><p>While the outage was outside of our control,&#xA0;<strong>HR Partner remained online throughout</strong>, with only a few features &#x2014; including the ability to send emails and reminder notifications &#x2014; affected for a short period of time.&#xA0;</p><p><strong>All data stayed secure</strong>, and there was no disruption to access or core functionality.</p><p>Although HR Partner itself remained online,&#xA0;<strong>some of the partners we use to communicate with customers were also impacted by the AWS outage</strong>, which limited our ability to send customer updates during that time.</p><p><strong>As AWS have now fixed the issue</strong>, everything is fully operational once again. We made some refactoring changes to our sync routine with Xero at the start of September, but unfortunately those changes introduced a bug that stopped approved leave requests from being automatically sent to Xero for a few days.</p><p>If you check your system log under <strong>Setup &gt; Tools &gt; System Log</strong>, and see a lot of warnings there about &apos;<em>Xero Employee Absence - Push Stalled</em>&apos; with the reason &apos;<em>Unable to find matching Leave Policy in both systems.</em>&apos;, then this in an indication that you were affected by the bug.</p><figure class="kg-card kg-image-card"><img src="https://d33v4339jhl8k0.cloudfront.net/inline/53319/b534bf570f92ee588c88edd3d4b6c4d3acf32ba3/c93fe5ae3bfc96d7fe1265da11287d23c2bbb91d/image002.png" class="kg-image" alt loading="lazy"></figure><p>Normally, when we sync with Xero, we read a list of all leave policies attached to your employees in Xero, and store that information in the employee record in HR Partner.  This way, when we go to push a leave entry to Xero, we can quickly find the leave policy details so we know which policy in Xero to push to.</p><p>Unfortunately, the bug meant that the employee leave policies were not being brought across from Xero, hence when the system went to send a leave entry to Xero, it could not find a leave policy to match to, resulting in the error.</p><p>We have now fixed this bug as of <em>Monday 8th September 2025</em>.  All our customers will have to ensure that their company has successfully synced with Xero since this date (Hint: You can check how long ago your last sync ran by looking at the Xero widget in the lower right corner of your admin dashboard).</p><figure class="kg-card kg-image-card"><img src="https://workplace.hrpartner.io/content/images/2025/09/CleanShot-2025-09-09-at-08.35.00@2x.png" class="kg-image" alt loading="lazy" width="608" height="468" srcset="https://workplace.hrpartner.io/content/images/size/w600/2025/09/CleanShot-2025-09-09-at-08.35.00@2x.png 600w, https://workplace.hrpartner.io/content/images/2025/09/CleanShot-2025-09-09-at-08.35.00@2x.png 608w"></figure><p>Once your company has done a successful sync, then any leave requests that are approved or entered after that should be sent to Xero successfully.</p><p>Any leave requests that were entered from the start of September to the 8th will have to be manually entered in Xero - sorry about that.  You can delete existing leave entries and re-enter them in HR Partner, but it is probably quicker to print a report of all leave entries for that date range in HR Partner and manually enter them in Xero.</p><p>Our apologies for the inconvenience and confusion caused by this bug. You can feel free to move them further up or down the order as you see fit.</div></div><h3 id="whats-new">What&apos;s New?</h3><p>We have added several new widgets, including some fun ones like a random <strong>motivational message of the day</strong>, and a widget for you to put a <strong>company mission statement</strong> or manifesto to keep your team aligned and focused.</p><p>We have also added widgets that consolidate a lot of the older widgets in one - for example, instead of having separate widgets for outstanding Timesheets, Custom Forms and eSignature documents to sign, we now have a &apos;<strong>My Tasks</strong>&apos; widget which shows all of these in the one place, meaning you can remove the other widgets for a  much neater dashboard.</p><p>And in the coming months, we will be adding several more widgets which you can pick and choose from to further make your dashboards much more useful to your employees.</p><h3 id="how-do-i-configure-the-layout">How do I configure the layout?</h3><p>If you have the requisite admin user permissions to make system changes, you will see a new option under <strong>Setup &gt; Configure &gt; Layouts</strong> where you can edit the ESS Portal Dashboard layout.</p><p>Our improved editor lets you drag and drop widgets from the &apos;<strong><em>Available</em></strong>&apos; list, onto 4 separate dashboard areas, the page header, the left and right columns, and the page footer area.  You can even move widgets between these areas in order to emphasise important ones at the top, and less critical ones further down the page.</p><p>So now you can place informative widgets such as the company calendar in the wider footer area, and place often used ones like the Timeclock entry widget to be more prominent in the top of the rightmost column.</p><div class="kg-card kg-callout-card kg-callout-card-blue"><div class="kg-callout-emoji">&#x261D;&#xFE0F;</div><div class="kg-callout-text">Please note that these dashboard changes will be the same for <i><em class="italic" style="white-space: pre-wrap;">all</em></i> your employees when they visit their portal - at this point in time, employees cannot change the dashboard layouts. This means that these fields will no longer appear in application data received via Indeed in HR Partner.</p><div class="kg-card kg-callout-card kg-callout-card-blue"><div class="kg-callout-emoji">&#x2757;</div><div class="kg-callout-text"><i><em class="italic" style="white-space: pre-wrap;">Impact:</em></i> None - We do not use or store this extra information in HR Partner at this point in time.</div></div><h3 id="monstercom">Monster.com</h3><p>Monster&#xA0;has filed for&#xA0;<strong>Chapter 11 bankruptcy</strong>&#xA0;in the United States. Parts of the business have been acquired by&#xA0;<strong>BOLD</strong>, but this only includes Monster&#x2019;s US job board operations. As a result, Monster has&#xA0;<strong>temporarily suspended its European websites</strong>, effective&#xA0;<strong>30 July 2025</strong>.</p><div class="kg-card kg-callout-card kg-callout-card-yellow"><div class="kg-callout-emoji">&#x203C;&#xFE0F;</div><div class="kg-callout-text"><i><em class="italic" style="white-space: pre-wrap;">Impact:</em></i> This may affect Monster&apos;s ability to scrape your open job listings from HR Partner. A small bug in our performance reminders code has resulted in a backlog of weeks worth of reminders going out all at once today.]]></description><link>https://workplace.hrpartner.io/bug-with-performance-reminders/</link><guid isPermaLink="false">688079c22ace3e0a18bba934</guid><category><![CDATA[Announcement]]></category><dc:creator><![CDATA[Devan Sabaratnam]]></dc:creator><pubDate>Wed, 23 Jul 2025 06:07:29 GMT</pubDate><content:encoded><![CDATA[<p>A few weeks ago, we made some major changes to the way our system queues and sends email out, including all notification emails.</p><p>Unfortunately, these changes accidentally broke our Performance Management reminder emails, and prevented any reminders from going out.  The bug was so obscure that our normal server logs didn&apos;t pick it up until some of our customers notified us that they weren&apos;t receiving reminders for reviews that were due.</p><p>It took us a couple of days to trace the bug and fix it, which was pushed out early this morning (Asia/Pacific time).</p><p>Unfortunately, what happened was that the system noticed that performance review reminders for the past 2 or 3 weeks had not been sent out successfully, so it decided to send them ALL out.  At once.</p><p>This resulted in your team&apos;s Inboxes being flooded with a series of emails that all looked the same. See below for why this is so.</p><h3 id="coming-soon-ai-assisted-application-evaluation">Coming Soon: AI assisted application evaluation</h3><p>Some of our lucky customers have already been Beta testing <strong>ADA</strong> our AI powered <strong>A</strong>pplicant <strong>D</strong>ata <strong>A</strong>nalyst which is a new feature we are excited to release in the coming weeks.</p><p>Ada will basically sit alongside your other selection panel members, and she can evaluate incoming job applications either individually on demand, or automatically as they come in from your own HR Partner job board or third party job boards like Indeed.</p><p>Ada will look at the applicant&apos;s resume, cover letter, and their answers to your job application form, and compare it to your job listing to evaluate suitability.  She will fill in your Scorecard with comments and star ratings, and add a Comment to the job application with her thoughts, and she will even see if the resume or cover letter was auto-generated using AI and warn you if the probability is high. Well, sometimes when doing a task like screening job applicants, you don&apos;t want to send them rejection emails too quickly otherwise your efficiency may make them feel that you haven&apos;t scrutinised their application thoroughly enough, so adding a delay of a few hours or even one day can avoid that.</p><p>Or you may want to advise some employees about an event or meeting happening in the next day, and you don&apos;t want the email to be sent out today in case they forget about it when they get to work next morning, so you can delay the sending to more closely coincide with them starting work tomorrow.</p><p>To help you manage this, we now have a &apos;<em>Message Queue</em>&apos; in your HR Partner company, and you can get to it via <strong>Setup &gt; Tools &gt; Message Queue</strong>.</p><p>In this screen, you can see all messages that have been sent recently, as well as those that have been queued for future sending.  You can also remove any emails in the scheduled queue if you change your mind about sending them out, or else you can force them to be sent immediately if needed.</p><blockquote><strong>Pro Tip:</strong> Most messages now take around 1 minute before they are actually sent out, so you have an &quot;Oops!&quot; option to stop an email going out if you change your mind (and if you are quick enough!)</blockquote><p>We hope these changes makes it easier for you to rely on emails within HR Partner.  Should you experience any issues with email deliverability, please do not hesitate to contact our support team to discuss.</p>]]></content:encoded></item><item><title><![CDATA[Multi Location Holidays]]></title><description><![CDATA[You can now nominate multiple locations for a public holiday in HR Partner.]]></description><link>https://workplace.hrpartner.io/multi-location-holidays/</link><guid isPermaLink="false">6840c7102ace3e0a18bba30c</guid><category><![CDATA[Feature Highlight]]></category><dc:creator><![CDATA[HR Partner]]></dc:creator><pubDate>Wed, 04 Jun 2025 22:29:19 GMT</pubDate><content:encoded><![CDATA[<p>Just a quick update today to let all our customers know that we now support multiple locations on public holidays!</p><p>Previously, you could only have ONE location per public holiday entry, resulting in having to add multiple public holiday entries if there was the one holiday affecting your employees in multiple locations. Of course, you can still use the old method of having one location per public holiday, but this new change will make managing a team that is spread across multiple regions much easier.</p><p>Hope this change makes things easier for you to manage in HR Partner.
